Privacy Notice

Ryan Gallifant, operating under the Aethercore Industries trade name, collects only the information reasonably needed to answer inquiries, design and quote systems, fulfill authorized orders, provide support, keep required records, and protect the business and its customers. The website does not ask for payment-card details.

1. Scope

This Privacy Notice applies to aethercoreindustries.com, build requests sent from the website, direct communications with Aethercore, quoting and order administration, and warranty or support interactions.

2. How the build-request form works

The current build-request form prepares an email in your own email application. The website does not receive the completed form merely because you fill it out. Aethercore receives the information only if you review and send that email. Your email provider processes the message under its own privacy terms.

3. Information Aethercore may receive

  • Contact details such as name, organization, email, phone, and city or state.
  • Project information such as workloads, budget range, timing, aesthetic preferences, selected components, existing equipment, and notes you choose to provide.
  • Transaction records such as accepted quotes, invoices, payment status, delivery information, serial numbers, and bill-of-sale records.
  • Support information such as issue descriptions, device logs, diagnostic results, photos, warranty status, and communications.
  • Basic technical or security information generated by the hosting service, such as request logs, IP address, browser type, and error events, when available.

Please do not send card numbers, bank passwords, account passwords, government identifiers, protected health information, or unrelated confidential data.

4. Why information is used

Aethercore may use information to respond to inquiries; recommend, validate, and quote systems; communicate about inventory and timing; create and administer contracts; collect authorized payment; acquire parts; assemble, test, deliver, and support systems; coordinate manufacturer warranty service; prevent fraud and security incidents; maintain tax, accounting, warranty, and business records; and comply with law.

5. When information may be disclosed

Aethercore may provide the minimum necessary information to service providers that help with hosting, email, electronic signatures, invoicing, payment processing, accounting, shipping, diagnostics, data storage, or customer support; to component manufacturers or distributors for compatibility, fulfillment, or warranty service; to professional advisers; or to authorities when legally required or necessary to protect rights and safety.

Aethercore does not sell personal information or share it for cross-context behavioral advertising.

6. Payments

Deposits and balances are collected only after quote approval through a secure payment provider or other payment method stated on the invoice. The payment provider receives and processes payment credentials under its own privacy and security terms. Aethercore should receive transaction confirmation and limited payment metadata rather than full card credentials.

7. Retention and security

Aethercore retains information for as long as reasonably needed for the purposes above, including quote follow-up, order fulfillment, warranty service, dispute prevention, and legal, tax, or accounting requirements. Records no longer needed should be securely deleted or de-identified when practical.

No system can guarantee perfect security. Aethercore uses reasonable administrative and technical safeguards appropriate to the size and nature of the business and limits payment data collection by using a dedicated payment provider.

8. Your choices and requests

You may ask to access, correct, or delete information you provided, or ask Aethercore to stop nonessential communications. Some information may be retained when reasonably necessary to complete a transaction, provide warranty service, maintain business records, prevent fraud, resolve a dispute, or comply with law.

9. Children

The website and custom-build services are not directed to children under 13. A parent or legal guardian should handle any inquiry or purchase for a minor.

10. Changes

Aethercore may update this notice as the ordering process, service providers, or legal requirements change. The effective date identifies the current published version.
